1. When will the Green Gown Awards Australasia scheme open for applications?

The Awards will launch on Tuesday 3 June 2014. All documentation will be available online.

2. What is the deadline for Applications?

The deadline for receiving applications is 4pm Tuesday 5 August 2014. Late applications will not be accepted.

3. How long should the Application be?

Each of the various sections has a specified word limit. This is a strong guide. However the ultimate guide is the number of pages. The application must not exceed 6 pages. Applications longer than 6 pages will not be accepted.

No separate supporting documentation will be allowed. If you wish to include any evidence to support your claims please include web links and photos in the main body of text. However judges are not obliged to look at them, so ensure they are to back up claims made and are not central to the application.

Please note if you are submitting under the Learning & Teaching category you will be given the opportunity to provide the web link to any information you have stored on the sustainability.edu.au website, if applicable. However the same rules apply as above, please be sensible with your inclusion. This is not compulsory.

4. Is there a specific format for the application to be submitted in?

You must submit on the official application form in word format. PDF will not be accepted.

5. What documentation do I need to submit?

Please submit:
  • The 2014 Green Gown Awards Australasia Application Form;
  • The 2014 Marketing Form;
  • Accompanying marketing materials. This includes up to 3 photos and an institutional/project logo. All logos and pictures must be submitted in Jpeg or png and in high resolution – at least 300dpi.

6. Will I receive notification that my submission has been received?

Yes. You will receive an automated email. If you have not received a confirmation email of your submission by Thursday 7 August 2014 please contact ggaa@acts.asn.au

7. Can I apply for more than one category?

An institution can submit as many applications as they wish under any category. You may submit the same initiative under different categories, although please ensure they meet the specific category criteria. However institutions can only be successful for the same initiative in one category, it is the discretion of the judging panel, if significant differences are not evident to make only one award. You may also submit more than one different initiative in each category.

8. How do I make sure I submit my project under the correct category?

Please read the full category criteria carefully. It is difficult to move applications between categories once submitted and there is no guarantee this will happen. Moving an application is at the discretion of the judging panel and Award organisers. As such it is vital that you read the 2014 Green Gown Awards Guidance Notes for Participants.

9. Is it free to enter?

Yes all applications are free to enter.

10. Do we have to provide an alternative contact?

Yes. You must complete all sections of the application form. We have included the alternative contact to ensure there is a point of contact in the event that someone is absent or no longer working at the organisation.

11. What is the list of categories for 2014 and which categories are new?

There are 11 categories for 2014.
  • Best Newcomer – which recognises those at the start of their sustainability journey. Institutions that have not entered the awards before or been an award finalist are eligible
  • Facilities & Services which aims to award those embedding sustainability measures into all areas of campus life.
  • ACTS Award of Excellence – Student Award. Nominate a colleague, manager or student that has been highly motivating or inspiring to achieve change in sustainability.

12. Can I submit an application that has previously won or been highly commented?

No. Initiatives which have won or were highly commended in previous years, in any category, will not be considered for this year’s awards, unless they can provide evidence of further, significant improvement since the last application. They can, however, form part of an application to the Continuous Improvement category, again provided that there is evidence of further improvement since the last Award. These applications will need to benchmark against any previous entry and highlight the achievements since the last submission. Other initiatives from the institutions concerned, or ones which were previously submitted but unsuccessful, can be re-submitted.

13. Do I have to meet all the requirements under the Conditions of Entry?

Yes, the conditions of entry have been drafted to ensure all applications meet the same general requirements. Please ensure you read then carefully and if you think you may not meet the requirements please reconsider your entry or contact the Green Gown Awards Australasia team at ggaa@acts.asn.au for clarification. The Conditions of Entry can be found in the “Guidance Notes for Participants’.

14. I cannot open the application form or the guidance notes document?

Both the 2014 application form, 2014 marketing form and guidance notes for participants can be found at www.acts.asn.au. If you are unable to open the documents please contact ggaa@acts.asn.au as you may have an older version of word than those on the website. If so we will send an alternative version for you to complete.

15. Do I have to use the official application form to submit an entry?

Yes. All submissions must be made on an official entry form.

16. How will I know if I have won?

The winners and highly commended will be announced at the Green Gown Awards Australasia Awards ceremony at the Hotel Grand Chancellor, Hobart on Thursday 6 November 2014.  You may purchase tickets to the ceremony, in conjunction with the ACTS Annual conference should you not wish to attend the full conference. Tickets can be purchased through the ACTS website.

Yes the finalists will be announced on Thursday 18 September 2014.

18. Will I receive feedback if I am unsuccessful?

The Awards organisers will aim to provide generic feedback, on unsuccessful applications. However depending on the number of applications, this cannot be guaranteed and specific feedback will not be provided under any circumstances. All feedback will be supplied after the Awards ceremony.

19. My institution is not in Australia or New Zealand can I still submit an application?

Yes, entries will be accepted from any legal entity within the further and higher education sector and learning and skills sector residing within and outside of Australia and New Zealand. All applications will be governed by the same rules and no preferential treatment will be given to Australasian or international applications.

20. I am a small TAFE or provide vocation training, such as apprenticeships, am I eligible to enter and what categories can I submit an application under?

Yes ALL institutions within the tertiary education sector, providing learning and skills training (e.g. university, TAFE, Polytechnics and RTO’s, work based learning provider) no matter of size can submit an application. Any institution is eligible to submit applications under any of the 11 categories with a few exceptions:
  • Only ACTS member institutions are eligible to submit, nominate and vote for the ACTS Award of Excellence. ALL ACTS institutional members providing learning and training are eligible including affiliate members. If you wish to become an ACTS member please register via www.acts.asn.au
  • Best Newcomer – Only institutions that have not submitted to the Awards or been shortlisted as a finalist are eligible for this category.

Please ensure you read all the eligible criteria for each category before you submit an application so you are aware of what the judges are looking for.

21. How did the Green Gown Awards Australasia begin?

The Green Gown awards are a UK based initiative. They have been brought to Australasia as a result of a joint partnership between HEEPI, EAUC and ACTS. The aim was to create an international Green Gown Award where winners from each country will be judged in an international context. The international Green Gown Awards were be piloted in 2012. Winners from the UK and Australasia competed in 3 categories for the international award. Further information on the 2014 international awards can be found on the website. 22. If I win an Award will I be asked to participate in marketing activities?

Yes. We ask that all winning or highly commended institutions send ACTS copies of any pre and post event marketing activities. We also ask that all institutions submit a video and or case study for international dissemination. We do appreciate that this is not always possible but we actively encourage institutions to take part both for the sharing of resources for ACTS and also for the huge marketing benefits for the institutions themselves. ACTS takes the dissemination of best practice from the awards very serious and will offer year long promotion of the initiatives. We may also ask institutions to get involved in dissemination events and webinars if and when appropriate. The Awards team would give you plenty of notice if you need to present or take part.

23. Why do I have to submit marketing information with my application form?

All applicants must complete and submit the marketing information along with photos and logo. This is so that the Awards team can produce marketing materials for use during the awards ceremony and after the event.

The main focus of the Green Gown Awards Australasia is not only to recognise and reward those institutions making a positive change towards sustainability but also to disseminate and share best practice within the sector and internationally. ACTS is committed to this. All information in the marketing information form and submitted case studies may be edited by the Awards team (without permission) for use in marketing materials, but the meaning will not be changed in ANY way. By submitting an application you are consenting to the publishing of this information and your logo’s and photos.

24. Who can vote for the ACTS Award of Excellence?

Any member of ACTS (institutional and affiliate) can vote for the ACTS Award of Excellence and we actively encourage as many institutions as possible to take part. However nominated institutions both within the institutional award and the individual award cannot vote for themselves. Non ACTS members are not eligible to vote. 25. Which categories will be eligible for the international Green Gown Awards?

The categories for the international Green Gown Awards are:
  • Continuous Improvement – Institutional Change
  • Social Responsibility
  • Student Engagement

No separate application form is required, entry to the International Green Gown Awards is automatic. Please ensure you pay particular attention to the criteria in the communication and engagement as this section will be used by the international judging panel.

26. Will I know who has judged my application?

No. All judging is kept confidential. A list of judging institutions will be made publically available online and in the winner’s brochure, but individuals from each of the organisations and which categories they judge will not be divulged. This is to ensure a fair and conflict free process. All judges are allocated to ensure there is no conflict of interest.

27. What are the international awards and how can I apply for one?

The Green Gown Awards are run in the UK and Australasia. In 2012 the international awards were piloted with the winner of each award in Australasia and UK competing for the international title.

There are three categories open for the international award:

  • Continuous Improvement – Institutional Change
  • Social Responsibility
  • Student Engagement

No separate application form is needed, entry to the International Green Gown Awards is automatic.

One winner from each category in the UK and Australasia will be chosen for the international awards. You cannot apply directly for these awards and the winner of each eligible category will be put forward automatically.

28. I don’t want to apply for the international award but want to submit under one of the international award categories – is this allowed?

No. If you submit an application under any of the 3 international categories and you are the Australasian winner you will automatically be put forward for the international award. My submitting an application, you automatically give consent for your applications to be included in the international awards.

29. Can third parties apply?

Yes. Entries will be accepted from non-institutional organisations provided they are jointly submitted or supported by an institutional organisation and the institutional organisation must provide a contact.

The Green Gown Awards Australasia are administered and run by Australasian Campuses Towards Sustainability (ACTS).

31. I’m not sure if my project is relevant, what do I do?

32. Is there any training provided for the Green Gown Awards Australasia?

Yes we are running two ‘Top Tips for Success’ 1 hour webinars that is free to attend. The Webinars will be on Tuesday 10 June at 12:30pm and Tuesday 10 July 2014 at 2pm. Please go to the website to register. Registration is essential.

33. Can two or more institutions submit a joint application?

Applications on activities involving more than one tertiary education institution, should normally be submitted as joint applications. If this is not the case, please provide a brief confirmation within the form that it is appropriate for these other institutions not to be a full applicant (e.g. minor role, application focuses on only small part of the activity etc).
