1. When will the Green Gown Awards Australasia scheme open for applications?

The Awards launched on 3 May 2017. All documentation is available online.

2. What are the Stage 1 and 2 deadline for Applications?

The Stage 1 deadline for receiving all applications is 4pm Wednesday 21 June 2017. If applicants are successful at Stage 1 they will be notified approximately the week of the 17 July and invited to submit a Stage 2 application. The deadline for Stage 2 is Wednesday 6 September 2017.  Late applications will not be accepted. View the Awards timetable.

3. How long should the Application be?

Stages 1 and 2 pages are in the same document, however they must not be completed at the same time. Stage 1 is required first, and ONLY if applicants are successful at this stage should the applicant complete the Stage 2 pages. For both stages there is no word limit per section, however there are strict page limits:

  • Stage 1 application is 4 pages (max of 8 document pages, including cover pages and empty stage 2).
  • Stage 2 application is 2 pages (max of 8 document pages, inc. cover pages and completed stage 1 & 2) except:
  • Stage 2 application for Continuous Improvement is 3 pages (max of 9 pages, inc. covers and completed stage 1&2).
The Individual Nomination also follows a 2 Stage process, as above and the page limits are:
  • Stage 1 application is 2 pages (max of 5 document pages, including cover pages and empty stage 2)
  • Stage 2 application is 2 pages (max of 6 document pages, including cover pages and completed stage 1 & 2).
No separate supporting documentation will be allowed. If you wish to include any evidence to support your claims please include web links and photos in the main body of text. However judges are not obliged to look at them, so ensure they are to back up claims made and are not central to the application.

4. Is there a specific format for the application to be submitted in?

You must submit on the official 2017 Stage 1 Application Form and 2017 Stage 1 Nomination Form in word format only. (PDF will not be accepted). The application form will be given back to those applicants that are successful at Stage 1 for completion of the stage 2 pages.

5. What documentation do I need to submit?

Please submit:
  • The 2017 Application Form;
  • Accompanying marketing materials (when requested). This includes a marketing form, up to 3 photos and an institutional logo. All logos and pictures must be submitted in Jpeg or png and in high resolution – at least 300dpi
NOTE: Nominations for the three individual Awards require completion of the Individual Nomination Form only. Nominee’s will be asked to provide an institutional logo and 2 photos with their Stage 1 submission.

6. Will I receive notification that my submission has been received?

Yes. You will receive an automated email. If you have not received a confirmation email within 24 hours please check your spam/junk folder or contact ggaa@acts.asn.au

7. Can I apply for more than one category?

Yes. An institution can submit as many applications as they wish under any category. You may submit the same initiative under different categories, although please ensure each application meets the specific category criteria. However institutions can only be successful for the same initiative in one category, unless they can demonstrate significant differences in the context of the initiative within the application. It is at the discretion of the judging panel to determine if applications demonstrate enough differences to warrant multiple awards. If you wish to submit two or more applications under the same category they must be for different initiatives/projects.

8. How do I make sure I submit my project under the correct category?

Please read the full category criteria carefully. It is difficult to move applications between categories once submitted and there is no guarantee this will happen. Moving an application is at the discretion of the judging panel and Award organisers. As such it is vital that you read the 2017 Guidance Notes for Participants.

9. Is it free to enter?

Yes all applications are free to enter.

10. Do we have to provide an alternative contact?

Yes. You must complete all sections of the application form. We have included the alternative contact to ensure there is a point of contact in the event that someone is absent or no longer working at the organisation.

11. What is the list of categories for 2016 and which categories are new?

There are 12 categories for 2017. There are two new categories: Research & Development and Creating Impact.

12. Can I submit an application that has previously won or been highly commented?

No. Initiatives which have won or were highly commended in the previous two years, in any category, will not be considered for this year’s awards, unless they can provide evidence of further, significant improvement since the last application. They can, however, form part of an application to the Continuous Improvement category, again provided that there is evidence of further improvement since the last Award. These applications will need to benchmark against any previous entry and highlight the achievements since the last submission. Other initiatives from the institutions concerned, or ones which were previously submitted but unsuccessful, can be re-submitted.

13. Do I have to meet all the requirements under the Conditions of Entry?

Yes, the conditions of entry have been drafted to ensure all applications meet the same general requirements. Please ensure you read them carefully and if you think you may not meet the requirements please reconsider your entry or contact the Green Gown Awards Australasia team at ggaa@acts.asn.au for clarification. 14. I cannot open the application form or the guidance notes document?

If you are unable to open the documents please contact ggaa@acts.asn.au as you may have an older version of word than those on the website. If so we will send an alternative version for you to complete.

15. Do I have to use the official application form to submit an entry?

Yes. All submissions must be made on an official entry form.

16. How will I know if I have won?

The winners and highly commended will be announced at the Green Gown Awards Australasia Awards ceremony at the RMIT Universities iconic Storey Hall on 2 November 2017. You may purchase tickets to the ceremony, in conjunction with the ACTS Annual conference should you not wish to attend the full conference. Tickets can be purchased through the ACTS website.

17. Will there be a shortlist?

Yes the finalists will be notified approximately the week of the 13 July 2017 (although this date is subject to change). Successful applicants at Stage 1 are the finalists and they will then be invited to complete a more detailed Stage 2 application by 6 September 2017.

18. Will I receive feedback if I am unsuccessful?

The Awards organisers will aim to provide generic feedback, on unsuccessful applications. However depending on the number of applications, this cannot be guaranteed and specific feedback will not be provided under any circumstances. All feedback will be supplied after the Awards ceremony.

19. My institution is not in Australia or New Zealand can I still submit an application?

Yes, entries will be accepted from any legal entity within the further and higher education sector and learning and skills sector residing within and outside of Australia and New Zealand. All applications will be governed by the same rules and no preferential treatment will be given to Australasian or international applications. However, if you are eligible to enter another regional Green Gown Award (e.g. UK & Ireland, French-speaking Europe and Canada or GUPES via the United Nations Environment Program) then you are not eligible to apply for the Australasian Awards.

20. I am a small TAFE or provide vocation training, such as apprenticeships, am I eligible to enter and what categories can I submit an application under?

Yes ALL institutions within the tertiary education sector, providing learning and skills training (e.g. universities, TAFE, Institutes of Technology and Polytechnics (ITPs) Registered Training Organisations (RTO) and any work based learning provider) no matter of size can submit an application. Any institution is eligible to submit applications under any of the 12 categories with a few exceptions:
  • Only ACTS member institutions are eligible to nominate and be nominated for the ACTS Awards of Excellence. ALL ACTS institutional members providing learning and training are eligible including affiliate members. If you wish to become an ACTS member please register via www.acts.asn.au
Please ensure you read all the eligible criteria for each category before you submit an application so you are aware of what the judges are looking for.

21. How did the Green Gown Awards Australasia begin?

The Green Gown awards are a UK based initiative. They have been brought to Australasia as a result of a joint partnership between HEEPI, EAUC and ACTS. The aim was to create an international Green Gown Award where winners from each country will be judged in an international context. The International Green Gown Awards were be piloted in 2012. Winners from the UK and Australasia competed in 3 categories for the international award. In 2014 French speaking Europe and Canadian institutions joined the Awards. NEW for 2016 is the addition of the GUPES Green Gown Awards where six United Nations Environment Programme (UNEP) regions (Africa, Asia and the Pacific, Latin America and the Caribbean, North America and West Asia) into the International Awards. 22. If I win an Award will I be asked to participate in marketing activities?

Yes. We ask that all finalist institutions send ACTS copies of any pre and post event marketing activities. We also ask that all institutions submit a short (maximum 2 minutes) case study video for use at the Green Gown Awards Australasia Ceremony and for international dissemination by 18 October 2017. All finalist video’s will be shown at the Awards ceremony, as well as disseminated widely after the Awards ceremony.

23. Why do I have to submit marketing information with my application form?

All applicants must complete and submit the Marketing Information along with photos and logo if successful at Stage 2. No marketing information (apart from an institutional logo, and photos for the individual nominations) will be asked for at Stage 1.  Marketing information is collected so the Awards team can produce marketing materials for use during the awards ceremony and after the event.

25. Which categories will be eligible for the international Green Gown Awards?

The categories for the International Green Gown Awards are:
  • Community
  • Continuous Improvement: Institutional Change
  • Student Engagement
No separate application form is required, entry to the International Green Gown Awards is automatic. Please ensure you pay particular attention to the criteria in the communication and engagement section will be used by the international judging panel. The international Green Gown Awards will take place between Australasia, UK & Ireland, French-speaking Europe and Canada and the 6 new GUPES regions (Africa, Asia and the Pacific, Latin America and the Caribbean, North America and West Asia). The international Awards will be announced differently this year, with their own seperate ceremony to take place in spring 2017.

26. Will I know who has judged my application?

No. All judging is kept confidential. A list of judging institutions will be made publicly available online and in the winner’s brochure, but individuals from each of the organisations and which categories they judge will not be divulged. This is to ensure a fair and conflict free process. All judges are allocated to ensure there is no conflict of interest.

27. What are the international awards and how can I apply for one?

The Green Gown Awards are run in the UK & Ireland, Australasia, French-speaking Europe and Canada and the 6 new GUPES regions (Africa, Asia and the Pacific, Latin America and the Caribbean, North America and West Asia). In 2012 the International Awards were piloted with the winner of each award in Australasia and UK competing for the international title. The French speaking institutions joined in 2014 and GUPES in 2016.

There are three categories open for the International award:

  • Community
  • Continuous Improvement: Institutional Change
  • Student Engagement

No separate application form is needed, entry to the International Green Gown Awards is automatic.

One winner from each category in the UK & Ireland, Australasia, French speaking-Europe and Canada and GUPES 6 regions will be chosen for the international awards. You cannot apply directly for these awards and the winner of each eligible category will be put forward automatically.

28. I don’t want to apply for the international award but want to submit under one of the international award categories – is this allowed?

No. If you submit an application under any of the 3 international categories and you are the Australasian winner you will automatically be put forward for the international award. By submitting an application, you automatically give consent for your application to be included in the international awards.

29. Can third parties apply?

Yes. Entries will be accepted from non-institutional organisations provided they are jointly submitted or supported by an institutional organisation and the institutional organisation must provide a contact.

The Green Gown Awards Australasia are administered and run by Australasian Campuses Towards Sustainability (ACTS).

31. I’m not sure if my project is relevant, what do I do?

Please read the full category criteria, also the 2017 Guidance Notes for Participants document, it gives a very comprehensive guide to what you need to do to apply for a green Gown Award Australasia. 32. Is there any training provided for the Green Gown Awards Australasia?

We have run ‘Top Tips for Success’ 1 hour webinars in previous years. We are not running a new one in 2017, as the content has not significantly changed.  The 2015 webinar can be viewed online here. It contains information on how to apply for the Awards, what the judges are looking for and how to read between the lines of each category criteria. 33. Can two or more institutions submit a joint application?

Applications on activities involving more than one tertiary education institution, should normally be submitted as a joint application. If this is not the case, please provide a brief confirmation within the form that it is appropriate for these other institutions not to be a full applicant (e.g. minor role, application focuses on only small part of the activity etc).

34. Do you have to be an ACTS member to apply for the Leadership Award?

No, any individual from any tertiary education institute can be nominated for the Green Gown Awards Australasia – Leadership award. Only the ACTS Awards of Excellence nominations must be from ACTS members.

35. I don’t have enough room on the application form, can I delete the instructions?

Yes you can delete any text that is not relevant to your application to provide more room. However please do not exceed the maximum number of pages. If you wish to add any photographs, graphs or other supporting links, please ensure they are contained within the body of the text and they do not result in the application exceeding the page limits.

36. What if there are insufficient entries in a category?

The Awards organisers have the right to refuse applicants for a specific category if insufficient entries are received. Applicants will receive 3 working days’ notice to resubmit their application to an alternative category.
